About Sevenhills Software
Sevenhills Software is a small software company from the Amsterdam area, founded by Subhashini Sivasubramani. We make software for people who run a business from home: home cooks, home bakers and small meal services who are great at their craft, but who also have to be their own bookkeeper.
Why we started
A home business is a real business. Every order needs an invoice, every invoice has to be paid, every ingredient you buy is a cost, and every quarter the tax office expects your VAT return. Most home entrepreneurs keep this in notebooks, Excel sheets and a shoebox of receipts, or pay an accountant for work a computer can do. Business software is usually made for bigger companies: too many settings, too expensive, and full of terms you don’t need. We wanted to give home businesses what large companies have, proper invoicing and proper books, without the complexity.
What Mealbooks does for you
From order to invoice to payment
- Take an order with its delivery date, at your normal price or the customer’s own price list.
- The invoice is made automatically from the order, with its own number, your company name, address, company registration number (such as your KVK number), VAT ID and IBAN, and your customer’s address. Send it as a PDF or through WhatsApp.
- Unpaid invoices get payment reminders by e-mail, on their own. Overdue invoices are marked for you.
- Mark an invoice paid, and the payment is recorded. A returned dish reduces the invoice, item by item.
Your accounting, done in the background
- Every invoice, payment and expense is booked automatically in proper double-entry books. You never have to make an entry yourself.
- Record your costs as expenses, with categories. Ingredients and food supplies show as your cost of ingredients.
- See your income statement (income, costs and profit) for any month, quarter or year, who still owes you money, and match your bank balance with your books.
Your VAT return, ready to file
- Mealbooks works out your VAT return from your invoices and expenses: the VAT on your sales, the VAT you paid, and what you have to pay or get back, per quarter. In the Netherlands and Germany it fills in the boxes of the official form (the btw-aangifte and the Umsatzsteuer-Voranmeldung); in other countries you get a VAT summary.
- After you have filed, the quarter is locked, so nothing can change the numbers you reported.
Food safety, without paper
- Your HACCP checks follow the paper logs you know (daily, weekly and periodic), and a correction never erases the original, so your records are complete for an inspection.
- Recipes and allergens are kept per dish.
